12 CRM Features Every Small Sales Team Actually Uses
CRM vendors love long feature lists. In practice, a team of 3 to 30 salespeople uses a small set of features every single day, and ignores the rest. When we build a custom CRM, these are the ones we start with.
1. One place for every lead
Leads arrive from the website form, WhatsApp, cold email replies, phone calls, walk-ins and referrals. If each lives in a different place, some get forgotten. A CRM should pull them all into one list automatically, with the source recorded.
2. Duplicate detection
The same customer enquires on WhatsApp on Monday and fills the website form on Wednesday. Without duplicate checks on phone number and email, two salespeople end up calling the same person.
3. A pipeline that matches how you sell
New → Contacted → Quote sent → Negotiation → Won or Lost is a good start, but your stages should be your own. A builder's pipeline looks nothing like a software company's.
4. Follow-up reminders
Most lost deals aren't lost to a competitor. They're lost to silence. Every lead should have a next action and a date, and the CRM should nag the right person when it's due.
5. Activity history
Calls, WhatsApp messages, emails, notes and meetings, all on one timeline. When a salesperson is on leave, someone else should be able to pick up the conversation in two minutes.
6. Quotations
Create a quote from the lead record, with your products, prices and taxes, then send it as PDF on WhatsApp or email. Track whether it was accepted.
7. WhatsApp integration
In India especially, most sales conversations happen on WhatsApp. Being able to send templates, receive replies and see the chat inside the CRM changes how teams work. Our WhatsApp marketing service plugs directly into the CRMs we build.
8. Lead assignment rules
Round-robin, by region, by product or by language. New leads should reach the right person within minutes, not wait until a manager sorts them in the evening.
9. Role-based access
Salespeople see their own leads. Managers see their team. Owners see everything. Some fields, such as margins, are visible only to certain roles.
10. Simple dashboards
Leads this month by source, conversion rate by stage, deals won by each person, pipeline value. If the owner can't see the state of sales on their phone in 30 seconds, the dashboard is too complicated.
11. Mobile access
Field sales teams need to update leads from a customer's office or a site visit, not wait until they're back at a desk.
12. Export to Excel
Your accountant, your investors or your own analysis will need the data in Excel at some point. One click, no support ticket.
What you can usually skip at first
- AI lead scoring (useful later, once you have enough historical data)
- Complex territory management
- Built-in social media posting
- Dozens of custom report builders
Starting from Excel?
Most teams we work with are moving from spreadsheets. We wrote about how to make that move without losing data. And if you're weighing a ready-made tool against a custom build, read custom CRM vs off-the-shelf.
